What a rent receipt must include
- Receipt number and date paid
- Landlord or agent — name and contact details
- Tenant — name
- Property — the address and unit the rent is for
- Rental period covered — e.g. 1–31 March 2026
- Amount received and payment method — cash, transfer, mobile money, cheque
- Any arrears or balance carried forward, if the payment was short
- Signature of the landlord or agent if handwritten
Why tenants ask for one
A rent receipt is the tenant’s proof that they are not in arrears. It settles deposit disputes at the end of a tenancy, supports a landlord reference for the next one, and in several countries is needed to claim housing allowance or tax relief on rent paid. For cash rent it is the only record that exists.
Why landlords should issue one anyway
The receipt is your ledger. A numbered series of rent receipts per property shows exactly which months were paid, when and how — the evidence you need if a tenancy ends in a dispute or a tax return is questioned.

Rent paid in cash, in advance, or late
- Cash. Issue the receipt on the spot and write the amount in words as well as figures. This is the payment with no other record.
- Several months in advance. One receipt, with the period stated as the whole span (“1 March – 31 August 2026”) and the monthly rate shown on a line.
- Late or short. Receipt the amount actually received, state the period it is applied to, and show the balance carried forward — not a receipt for the full rent with a verbal note.
How to issue a rent receipt

Is a landlord required to give a rent receipt?
In many jurisdictions yes, at least on request and always for cash. Check your local tenancy rules; issuing one regardless costs nothing and protects both sides.
Can a rent receipt be sent by email?
Yes. A PDF rent receipt with the landlord's details, the period and the amount is as valid as a paper one.
What if the tenant pays part of the rent?
Issue a receipt for the amount received, state the period it relates to, and show the balance carried forward.
