Invoice against the engagement, not against your calendar
Consulting invoices are approved by someone who was probably not in the room. The document has to connect the money to an agreement they can look up — a statement of work, a purchase order, a signed proposal. Reference it by number on every invoice and the approval becomes procedural.
Retainer engagements
One line for the retained scope and the period it covers. State the included capacity if there is one — “Advisory retainer, Q2 2026: up to 8 days” — and bill anything beyond it separately at the agreed overage rate. Invoice on the same date every month; predictability is part of what the client is paying for.
Time and materials
Days or hours by workstream rather than by person-day, with the period covered in the detail line. Where your contract caps the engagement, show the cumulative position: “Invoiced to date 41 of 60 contracted days”. Clients rarely dispute a figure they have been able to watch accumulate.
Fixed-scope deliverables
One line per deliverable, matching the wording in the statement of work exactly. If the SOW says “Operating model assessment”, the invoice should not say “Phase 1 analysis”.

Expenses
Recharged expenses cause more consulting invoice queries than fees do. Three rules keep them clean:
- Separate them from fees. Never bury travel inside a day rate.
- Follow the client’s policy. Most large clients have one and will reject anything outside it, regardless of what you agreed with your sponsor.
- State whether they carry tax and whether they are at cost or marked up.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Advisory retainer — March 2026 Per SOW-2026-04, up to 8 days included | 1 | 6,000.00 | 6,000.00 |
| Additional days beyond retained capacity 18, 19 and 26 March — approved by email 16 March | 3 | 950.00 | 2,850.00 |
| Travel — recharged at cost, receipts attached | 1 | 412.75 | 412.75 |

Getting through the client’s payment process
With corporate clients, the invoice rarely fails on price. It fails on process.
Get set up as a supplier before the first invoice
Vendor onboarding can take weeks. Start it during contracting, not after delivery.
Get the purchase order number
If the client uses POs, an invoice without one is usually rejected automatically, without anyone telling you.
Match the PO wording
If the PO says “Advisory services Q2”, do not invoice “Strategy workshops”. Mismatches stall in three-way matching.
Send to accounts payable, copy your sponsor
Your sponsor approves; AP pays. Both need to see it.
Know the payment run
Many organisations pay on fixed dates. An invoice that arrives the day after a run waits for the next one, whatever the terms say.

FAQ
Questions
How should a consultant present day rates on an invoice?
Days and the rate on the line, with the specific dates in the detail line beneath. Where the engagement is capped, add the cumulative days invoiced to date.
Should expenses be on the same invoice as fees?
They can be, but always as separate lines clearly labelled as recharged expenses. Some clients prefer a separate expenses invoice — ask, because it is usually about which cost centre pays.
What is a statement of work and why reference it?
It is the document defining scope, deliverables, rates and duration for an engagement. Referencing its number on the invoice lets whoever approves payment verify the amount without contacting you.
How do I invoice a retainer that was not fully used?
According to what you agreed. Most retainers bill in full whether or not the capacity is used, because the client is buying availability. Whatever the arrangement, state it in the contract and on the invoice so it is not a surprise.
What payment terms are normal in consulting?
Net 30 is the common default with corporate clients, and larger organisations often push for longer. If you accept extended terms, price them — you are financing the client.
