Services are harder to invoice than goods
With goods, the line item is obvious: the thing, how many, the price each. With services, the thing being bought is invisible by the time the invoice arrives. Your line descriptions have to reconstruct it for someone who was not there.
Choose the right unit
| Unit | Use when | Line looks like |
|---|---|---|
| Hours | Work varies and is tracked | Support and maintenance — 12.5 hrs @ 65.00 |
| Days | Work is booked in whole days | On-site consultancy — 3 days @ 950.00 |
| Fixed fee | Scope is defined in advance | Website build, per proposal PRO-018 — 1 @ 4,200.00 |
| Per unit of work | Repeatable, countable output | Product photography — 40 images @ 18.00 |
| Per period | Ongoing service | Contract cleaning, March 2026 — 26 visits @ 24.00 |
| Per visit | Attendance-based work | Service visits — 4 @ 85.00 |
Whatever unit you choose, keep it consistent with how you quoted. Quoting a fixed fee and invoicing in hours invites a renegotiation you already had.
Write descriptions that survive a month
Each line should carry three things: what was done, when, and what authorised it.
Weak: Consulting — 2,850.00
Strong: Advisory days beyond retained capacity — 18, 19 and 26 March. Approved by email 16 March. 3 days @ 950.00
Billing before, during and after
- Deposit or mobilisation before starting, especially for a new client.
- Interim invoices on a schedule for anything running longer than a month, so you are not financing the work.
- Final invoice on completion, showing everything already paid as deductions and the balance due.

Recharged expenses
Keep them separate from fees, state whether they are at cost or marked up, and follow the client’s expense policy if they have one. Attach or reference receipts for anything substantial. Expenses buried inside a fee line are the most common cause of a services invoice being sent back.
Tax on services
Services are often treated differently from goods, particularly across borders, where the place of supply may determine who accounts for the tax. If you invoice clients in other countries, confirm the treatment before you issue rather than after. See how to add tax to an invoice.
Retainers
Name the period on the invoice, state what capacity is included, and bill anything beyond it as a separate line at the agreed overage rate. Invoice on the same date every month — a predictable invoice gets approved predictably.
Questions
How do I invoice for hourly work?
Hours and rate on the line, grouped by task, with the period covered in the detail line. Group sessions into meaningful blocks rather than listing a timesheet.
Should I invoice before or after providing a service?
Usually after, with a deposit before for new clients or longer engagements. For work running beyond a month, invoice on an interim schedule.
How do I bill for a service that took longer than quoted?
If you quoted a fixed fee, the fixed fee applies unless the scope changed and you agreed the change at the time. If the scope did change, invoice the extra as its own line referencing that approval.
Can I charge for travel time?
Yes, if it was agreed beforehand. Put it on its own line with the rate or the distance, rather than folding it into your service fee.
