Recurring contracts are the whole business
Cleaning revenue is mostly regular and mostly small per visit, which makes the invoicing pattern different from trades that bill one job at a time. The aim is a monthly invoice that is identical enough to be approved without thought, and detailed enough that nobody has to ask what it covers.
- Invoice on a fixed date. The same day each month. Predictability is what gets a recurring invoice paid on a recurring schedule.
- State the period on the face of the invoice. “Contract cleaning — March 2026”, not just an invoice date.
- Show the schedule. Visits per week, hours per visit and the rate, so a client checking against their own records can reconcile it.
- Keep one invoice per site where a client has several. Facilities managers allocate costs per building.
- Adjust for missed or extra visits as their own lines rather than silently changing the monthly figure.
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Contract cleaning — March 2026 Unit 4, Riverside Park — 3 visits/week, 2 hrs per visit | 26 | 24.00 | 624.00 |
| Additional deep clean — kitchen area Requested 18 March by site manager | 3 | 28.00 | 84.00 |
| Consumables — hand towels, soap, bin liners Per attached schedule, recharged at cost | 1 | 58.40 | 58.40 |
| Credit — visit missed 6 March (site closed) | 1 | -48.00 | -48.00 |
The credit line matters more than it looks. A client who sees you deducting a missed visit before they spot it stops auditing your invoices.
02
One-off and specialist jobs
End-of-tenancy, post-construction cleans, carpet and upholstery, window cleaning, jet washing and deep cleans are priced per job rather than per hour. Quote them, and put on both the quotation and the invoice what is included — particularly for end-of-tenancy work, where the standard expected is the entire basis of the price. If the property is worse than described when you arrive, stop and requote before starting.
03
Consumables and equipment
Decide whether consumables are included in the rate or recharged, say which in the contract, and keep it consistent. If you recharge, attach or reference a schedule of what was supplied. Specialist equipment hire for a one-off job is its own line.
04
Domestic customers
Domestic cleaning is usually paid weekly or monthly, often by standing order, and frequently in cash. Two habits protect you: issue an invoice or statement even when payment is automatic, so there is a record of what was charged; and issue a receipt for every cash payment. Without either, a disagreement about which weeks were paid has nothing to resolve it.
05
Commercial clients and facilities managers
- Ask for a purchase order number at contract start and quote it on every invoice.
- Send to accounts payable, copy the site contact.
- Expect Net 30 and a monthly payment run.
- Keep the same reference format every month; changing it breaks the client’s matching and delays payment.

FAQ
Questions
How should I invoice a recurring cleaning contract?
Monthly, on a fixed date, with the period named on the invoice and the schedule — visits, hours and rate — shown on the line. Adjustments for missed or additional visits go on their own lines.
Should consumables be included or charged separately?
Either works as long as the contract says which and you stay consistent. If you recharge them, reference a schedule of what was supplied.
How do I invoice an end-of-tenancy clean?
As a fixed price for a defined standard, quoted in advance. State what is included, and requote before starting if the property is materially worse than described.
What if a client cancels a visit?
Follow your notice terms, and show the outcome on the invoice — either a credit line for a cancelled visit or a charged line for late cancellation. Making it visible is what prevents the argument.
Should I give receipts for cash payments?
Yes, every time. For domestic cleaning paid in cash, the receipt is often the only record either side has that a particular week was paid.
