What is a proforma invoice?
Proforma invoice meaning: a proforma invoice is a preliminary invoice sent to a buyer before goods are delivered or services performed. It sets out what will be supplied and at what price, exactly as the final invoice will, so the buyer can pay in advance, arrange finance, raise a purchase order or apply for an import licence. It is not a demand for payment of a debt and it is not recorded as a sale.
The word proforma means “as a matter of form”: the document has the form of an invoice without its legal effect.
Who issues it
The seller, once the buyer has agreed to buy but before delivery — typically when payment in advance is required.
What it is used for
Advance payment, a purchase order, letters of credit, import licences and pre-clearance, and internal budget approval.
What follows it
The tax invoice, issued when the goods ship or the service is delivered, with the proforma number referenced.
What it is not
Not a tax invoice, not proof of a sale, not a receipt. It should say so on its face — the generator pre-fills that sentence in the terms, which you can edit.

How to generate a proforma invoice online

Your details and the buyer
Logo, business name, address and tax number under From; the buyer under Bill To, exactly as they should appear on the final invoice.

Number and validity
PI-001 in its own series, today’s date, and how many days the prices hold. Quote the order or quotation it follows.

List the goods or services
One line per item with quantity and unit price, exactly as the tax invoice will carry them.

Tax and payment required
Switch tax on if it will apply. If only part of the total is due in advance, tick the deposit option and set the percentage.

Notes and terms
Bank details, when goods ship after payment, and delivery terms for an export. The not-a-tax-invoice sentence is pre-filled in the terms; edit or remove it as you need.

What is a proforma invoice?
A proforma invoice is a document laid out like an invoice but issued before the sale completes. It shows the customer exactly what the invoice will say — goods, prices, tax, total — so they can pay in advance, raise a purchase order or clear customs. It does not create a debt and is not a tax invoice.
Can I generate a proforma invoice online for free?

Is a proforma invoice the same as a quotation?

Does a proforma invoice need a number?
Yes — in its own PI- series, separate from your real invoices, because it is not recorded as a sale. When the sale completes, the tax invoice gets an INV- number and references the proforma.
Can a proforma invoice be used for customs?
Often, for a shipment’s pre-clearance or an import licence application, but the final clearance normally requires a commercial invoice. Check the destination country’s requirements.
