Quotation Format in Excel – Free .xlsx and .doc Templates

Three quotation spreadsheets with live formulas, the Word versions, and a generator that skips the spreadsheet entirely and produces the PDF.

A quotation built in a spreadsheet has one real advantage over a Word file: the arithmetic is not your problem. Change a quantity and the line, the subtotal, the tax and the total follow. That is worth having, and it is why so many businesses quote from Excel despite the formatting being a nuisance.

The three spreadsheets below are built that way — formulas, not typed figures. Underneath them is the honest comparison of when a spreadsheet is the right tool and when it is just the tool you already had open.

Four things that go wrong in spreadsheet quotations

  • The print area. Set it before you export, or the quotation arrives as three pages with the totals column alone on page two. This is the single most common reason a spreadsheet quotation looks unprofessional.
  • Inserted rows and the tax formula. The subtotal is a SUM over a range and copes. A per-row tax formula does not — extend it when you add a line.
  • Sending the workbook. Export to PDF. A spreadsheet reveals formulas, and a costing sheet left in a hidden tab has ended more than one negotiation badly.
  • Rounding. Cells displaying two decimals can hold more, so a column of visible figures may not add to the visible total. Round the values, not just the display, on anything a customer will check with a calculator.

No spreadsheet on a phone

Invoice & Quotation Generator does the same arithmetic without the print-area problem, and keeps the quotation on your phone so it can become an invoice later.

  • Totals, tax and deposits calculated
  • A4 PDF that cannot break across pages badly

Questions

Quotation spreadsheet FAQ

Is there a quotation format in Excel?

Yes — three are on this page as .xlsx downloads, and the amount, subtotal, tax and total cells carry real formulas rather than typed numbers. Change a quantity or a unit price and the document recalculates. They open in Excel, LibreOffice Calc, Google Sheets and WPS.

Should I use Excel or Word for a quotation?

Excel where the pricing does arithmetic — quantities, unit prices, tax, quantity breaks. Word where the words matter more than the numbers, such as a consulting or design proposal with scope paragraphs. Send either one as a PDF; never send the working file.

How do I convert a quotation spreadsheet to PDF?

In Excel or LibreOffice: File → Export or Save As, and choose PDF. Check the print area first, because a spreadsheet will happily split a quotation across three pages with a column stranded on its own. If that is a fight you would rather not have, the generator on this page produces the PDF directly.

Why not just send the Excel file?

Three reasons. It can be edited after you send it, so it is weak evidence of what you offered. It renders differently on the recipient’s machine and font set. And it exposes your formulas, which on a spreadsheet built from a costing sheet can reveal your margin.

Do the formulas break if I add rows?

Inserting a row inside the item block is handled by the subtotal, because it is a SUM over the range. The tax line adds each row individually, so if you insert a row you need to extend that formula to include it. It is the one edit worth checking before you send.

Can I use these templates commercially?

Yes. They are free to download, edit, rebrand and use for your own quotations, with no attribution required and no limit on how many you issue.
