The defining feature of an interior design quotation is that two very different kinds of money sit on the same document: your fee, which is fixed and yours, and the client’s spend on furniture and finishes, which is neither.

Quotations that blur the two produce a predictable argument about six weeks in, when the client reads the total as what they are paying you. Separate them visually, subtotal them separately, and say in plain words which number is your fee.

Line items

What goes on an interior design quotation

Two blocks, subtotalled separately, so the client can see which number is yours.

Design fee by stage

Concept, developed design, technical drawings, procurement, installation. Stage fees let the client stop after concept without a dispute, which paradoxically makes them likelier to continue.

Revisions included

“Two rounds of revisions per stage; further rounds at 85.00 per hour.” The most valuable sentence in the document.

FF&E allowance

Furniture, fittings and equipment as a budget line, marked indicative and subject to price at order. Not a fixed price on goods you do not control.

Procurement and handling

If you take a margin on purchasing, or charge a handling percentage, say so on the quotation. Discovered later it reads as a markup you hid; declared up front it is a service.

Site visits and meetings

A number, with the rate for additional visits. Residential projects generate meeting requests indefinitely unless this is bounded.

Third-party costs

Building control, structural engineer, specialist trades. Excluded from your fee and named so, even where you will co-ordinate them.

Avoid these

Where interior design quotes go wrong

  • Fee and furniture budget on one subtotal. The client reads the whole figure as your fee and reacts to a number that is mostly their own spending.
  • “Revisions until you are happy.” Well-meant and unbounded. Two rounds per stage, priced thereafter.
  • Fixed prices on FF&E. Quote an allowance. Fixing a sofa price four months before it is ordered transfers the supplier's price risk onto you.
  • Procurement margin left unsaid. It will surface when an invoice is compared against a retail price. Declare it.
  • Installation assumed to include making good. Say whether decorating, electrical alterations and floor protection are in or out.
  • No stop point. Without stage sign-off, an approved concept gets reopened in week nine. Name what sign-off means and what reopening it costs.

Quote the client in the room

Invoice & Quotation Generator builds the quotation on a tablet or phone during the consultation, so the fee structure is agreed while you are still explaining it.

  • Stage fees and allowances on separate lines

Questions

Questions

How do you write an interior design quotation?

Separate the fee from the spend. Your design fee — whether a percentage, a fixed sum or a day rate — goes in one block; furniture, fittings and finishes go in another, usually as a budget or provisional allowance rather than a fixed price, because the client will change their mind about a sofa and you do not want that to be a variation to your fee.

What should an interior design quote include?

Scope by stage (concept, developed design, technical, procurement, installation), the fee basis, the number of revisions included, the FF&E budget or allowance, procurement and handling margins if you charge them, site visits included, and what happens when the client changes direction after a stage is signed off.

Should I quote a percentage or a fixed fee?

Fixed fees are easier for residential clients to accept and easier for you to defend, because a percentage of spend means your fee rises when their budget does and that reads badly however fair it is. Percentages suit large projects where the spend is genuinely unknowable at quotation.

How many revisions should an interior design quotation include?

Name a number — two rounds per stage is common — and price further rounds at your hourly rate. Unlimited revisions is the single most expensive phrase in a design quotation, and it is usually there because nobody wanted to seem difficult at the quoting stage.

Do I include furniture prices in the quotation?

As an allowance, not a fixed price, and say that it is indicative and subject to availability at order. Fixing a price on an item that will be ordered in four months makes you the one absorbing a price rise on goods you do not manufacture.
