01

Photography invoices have to price time you cannot see

Clients tend to price a shoot by the hours you were visibly working. The editing, culling, colour work and delivery usually take longer than the shoot itself, and if none of that appears on the invoice it is invisible — and therefore negotiable. Break it out.

Session fee

Your time and expertise on the day, stated as a session or coverage fee rather than an hourly rate. Say what it covers: hours of coverage, number of locations, number of set-ups.

Packages

For weddings and events, one line for the package with the inclusions listed in the detail line, then separate lines for anything added. A package invoice that does not restate what was included invites “I thought the album was in that” six weeks later.

Editing and post-production

Either included in the package and stated as such, or a line of its own with the number of edited images. Retouching beyond the agreed standard is extra work and belongs on its own line.

Additional hours

Overtime is the most commonly disputed line in event photography. Put the rate in the quotation, and on the invoice show the times: “Additional coverage 22:00–23:30”.

Deliverables and extras

Prints, albums, second shooter, travel and accommodation, express turnaround, expiring gallery hosting. Each as a line, each with a quantity.

Licensing

For commercial work the licence is often worth more than the shoot. State what is granted — the media, the territory and the term — on the invoice as well as in the contract. A renewal or an extension is then a straightforward new invoice rather than a conversation about what was implied.

02

Deposits and the booking fee

Event photography lives on deposits, because you are selling a date you cannot resell. Take a non-refundable booking fee at the point of confirmation, invoice it separately, and say plainly in your terms that it secures the date. The balance is normally due before the event or on delivery of the gallery — agree which, in writing, at booking.

03

Delivery and payment

If final files are released on payment, say so in the terms on the invoice and in the contract. Holding delivery is only fair — and only enforceable — if the client knew the arrangement before the shoot.

FAQ

Questions

What should a photography invoice include?

The session or package fee with its inclusions, editing, any additional hours with the times, physical products, travel, licensing terms for commercial work, the deposit already paid, and the balance due with a date.

Should I charge separately for editing?

Either separately, or included and explicitly stated. What does not work is leaving it invisible — then it looks like something you threw in.

How much deposit should I take for a wedding?

Practice varies; a booking fee in the region of 20–30% is common, taken at confirmation and non-refundable because the date is held. Set your own figure and state the terms clearly at booking.

How do I invoice for image licensing?

As its own line, stating the media, territory and term granted. Keep it distinct from the shoot fee so an extension or renewal can be invoiced on its own later.

Can I hold the photos until the invoice is paid?

Only if that was agreed in advance and appears in your contract and on the invoice. Introducing the condition after the shoot is both unfair and difficult to enforce.
