A taxi receipt has one job beyond confirming payment: it has to survive somebody else's expense process. The passenger is usually not the person who decides whether it gets reimbursed.

That is why route and times matter more than the layout. A receipt showing only an amount proves a payment; a receipt showing a journey proves a business trip.

Line items

What goes on a taxi receipt

Fare and extras separated, with the journey itself recorded.

Fare

The metered or agreed fare as its own line. Where a fixed price was agreed for an airport run, say it was fixed — it prevents the passenger comparing it against a meter later.

Waiting time

Minutes and the rate. Waiting is the charge passengers query most, and the one least often written down.

Booking and card fees

Booking fee, card surcharge, airport pickup charge, tolls. Each named. A total that exceeds the quoted fare with no explanation is a complaint.

Route and times

Pickup point, destination, date and time. This is what makes the receipt usable as an expense claim rather than just proof of a payment.

Licence details

Driver or operator licence number where your regulator requires it on a receipt. Check your local rule — it varies by city.

Payment method

Cash, card or account. For account journeys, the account reference so the operator can reconcile it.

Avoid these

Where taxi receipts fall short

  • Amount only, no route. Fails an expense check. Put the pickup and destination on it.
  • No time. Two journeys on the same day are indistinguishable, and time-of-day rates cannot be verified.
  • Waiting time inside the fare. The passenger sees a number higher than the meter and assumes an error.
  • Surcharges unnamed. Airport fees, tolls and card charges each need a line, or the total looks arbitrary.
  • Handwritten and illegible. The most common reason a genuine journey is refused. A printed or PDF receipt removes the argument.
  • No licence number where required. Some regulators require it on the receipt. Check your city's rule rather than assuming.

Questions

Questions

How do I create a taxi receipt?

Fill in the receipt above: your name or company and any operator licence number, the date and time, pickup and destination, the fare, any waiting or booking fee, tax if you charge it, and the total. Download the PDF or print it for the passenger.

What should a taxi receipt show?

Driver or company name, licence or permit number where your regulator requires it, date and time of the journey, pickup and drop-off points, the fare broken into its parts, extras such as waiting time or airport fees, tax where applicable, the total, and how it was paid.

Do passengers need an itemised taxi receipt for expenses?

Usually yes. A card slip showing only an amount is weak evidence for an expense claim, because it does not say the journey happened or where it went. A receipt with the route, date and time is what a finance reviewer needs.

Should a taxi receipt show the route?

Pickup and destination at minimum. Corporate passengers are reimbursed against a journey, not against a figure, and a receipt with no route frequently gets sent back to them.

Can I issue a taxi invoice for an account customer?

Yes, and for account work an invoice is the right document: several journeys listed with dates, routes and fares, one total, payment terms. Use the invoice creator for that and keep receipts for individual cash journeys.
