Describe the fault, the diagnosis and the fix
Plumbing invoices are read by people who were not watching you work, and often by a landlord or an insurer who was not even in the building. A line reading “Repair — $240” tells them nothing. Write what was wrong, what you found and what you did:
“Attended reported leak under kitchen sink. Traced to failed compression joint on cold feed. Isolated supply, replaced joint and 300mm of 15mm copper, pressure tested and reinstated.”
That single habit prevents most queries, supports a warranty claim later, and is exactly what an insurer or letting agent needs to authorise payment.

Labour, and the first hour
Most plumbing work is billed as a call-out or first-hour charge plus time thereafter, often in fifteen- or thirty-minute increments. Put the increment in your terms and stick to it. Show the attendance time on the invoice; for an emergency at 02:00 the time on the document explains the rate without you having to.

Fittings and materials
Itemise parts of substance — the boiler part, the pump, the cylinder, the tap set, lengths of pipe — and group genuine consumables such as flux, solder, PTFE and clips as a sundries line. Where a manufacturer’s warranty applies, note the part number and the warranty period on the detail line; the customer will need it and you will not want to look it up in two years.

Emergency work
Emergency rates are entirely reasonable and rarely challenged when they were quoted on the phone before you set off. What causes disputes is a customer who called at midnight without being told the rate. Say it when the call comes in, and note on the invoice that it was quoted at the time of booking.

Repairs, replacements and quotations
When a repair turns into a replacement mid-visit, stop and quote. Confirm it by text or email before you carry on. An unexpected boiler on an invoice is a far bigger argument than a five-minute conversation on the day, and a written confirmation is what settles it if the customer forgets.

Landlords, agents and insurers
- Bill the entity that instructed you, but always show the property address on the invoice.
- Include the job or reference number the agent gave you — without it, agents often cannot process the invoice at all.
- For insurance work, the claim number and a clear description of cause and remedy are what get the claim paid.
- Agents usually pay on their own cycle. Agree terms in advance and expect Net 30.

Questions
What should a plumbing invoice say about the work?
The reported fault, what you diagnosed and what you did, with the date and the property address. That level of detail is what lets a landlord, agent or insurer approve it without contacting you.
How should I charge for an emergency call-out?
At your emergency rate, as a separate line, with the time you attended shown — and quoted to the customer when they call, not discovered on the invoice.
Do I need to list every fitting?
List the parts that carry real cost and any with a warranty. Flux, solder, clips and similar can be a single sundries line.
What if the job changes while I am there?
Stop and quote the new work before continuing, and confirm it in writing — a text message is enough. Then invoice it as its own line referencing that confirmation.
How do I invoice a letting agent?
Bill the agent as instructed, show the property address and their job reference number, and expect their own payment cycle. Missing the reference number is the most common reason an agent’s system rejects an invoice.
